Board of Directors

chevron_rightHow long are board members terms?
Board members are elected to two year terms by the residents of the community. The Shadow Brook board currently consists of seven board members. Board members may run for consecutive terms per the guidelines in Florida statute 718.The election of officers is staggered annually so that their is always someone with experience on the board to mentor new members.Specific board positions such as president, vice-president, treasurer and secretary are elected by the board themselves at a meeting held after the annual homeowners meeting.Board openings resulting from mid-term resignations are filled by the current board appointing someone to fill the vacant position and that person will reside on the board for the remainder of the term they are filling.

Clubhouse

chevron_rightCan I reserve the clubhouse for a personal gathering?
Yes. The clubhouse can be reserved, pending board approval. A completed Clubhouse Usage Agreement form, and a check for $100, will need to be delivered to the clubhouse office to start the process. The form is available for download in the Forms area of the website.

chevron_rightHow do I check out library materiel?
The library works on the honor system. Take what you are interested in and return it when you are finished with it. You can also donate books, puzzles, etc. to the library by leaving the items in the white return box.

chevron_rightIs alcohol allowed at the clubhouse?
Alcohol may only be consumed on or about any of the common elements or limited common elements at certain community events as approved by a majority of the board of directors.Alcohol is not permitted on or about any of the common elements or limited common elements at any resident sponsored event.

The clubhouse is open daily from around dawn until 8 pm. Please vacate the building by 8 pm

All residents must pass a background and credit check and be approved by the board to live in the community. The New Resident Application form is available for download from the Forms area of the website.

You will be directed to a third party website to make online fee payments. The Newby payment site is not affiliated with www.shadowbrookonline.com and your login credentials for this site will not work on the Newby Management payment portal. You will need to register on the payment portal if you have not already done so.There may be additional fees incurred by using the online payment portal. These additional fees are not collected by Shadow Brook.

chevron_rightHow much is the lot rent at Shadow Brook?
As a land owned community, Shadow Brook does not have lot rent, only quarterly condo fees.

The full amount of the quarterly Shadow Brook fees is due on the first day of each quarter (January, April, July, October).

chevron_rightHow come I haven't received coupon books to pay my fees?
Payment books are no longer being printed and sent to residents.Starting in 2024, you will receive 4 coupons, printed on one sheet of paper, that you may separate and use with each quarter's payment. You are not required to use the coupon to make your payment as long as you write your lot# on your check. The coupons were sent with the second annual meeting packet of information. Payment Coupons are available for download in the Forms area of the website.Please make one payment for the full fee amount and send it to, or drop it off, at the office in the clubhouse.

Shadow Brook Condominium Owners Association has purchased the Shadow Brook Water & Sewer System and the water & sewer fees are now part of the condo fees. Please write one check only for the entire amount made out to Shadow Brook.Fees are updated annually based on the approved budget for the community.Payment is due the first day of each quarter (January, April, July, October).Click on Payments for more information and for current fee amounts.

chevron_rightCan I change the appearance of my home/property?
Any change to the exterior appearance of your home or property (i.e. painting, plantings, driveway modifications, etc.) must be approved by the board of directors prior to any work starting.Submit an architectural request form to the office and you will be notified when your request is approved or declined. It can take up to 31 days for your request to be considered so plan your project accordingly. It may take even longer if your application is incomplete.Failure to gain approval prior to starting your project may result in fines, legal action and having to revert the change back to it's original appearance at your expense.The Alteration Application form can be picked up at the clubhouse or downloaded from the Forms area of the website.

chevron_rightCommunity Club Aluminum Can Collection
Once a month, Community Club volunteers will come to your home and collect empty aluminum cans for recycling. The Community Club uses this "can money" for projects and functions within the community.Collection occurs the first Saturday of the month around 9:00 am. If the collection date falls within a holiday week, the collection will be rescheduled for the following Saturday. This rescheduling is to accommodate trash collection which is moved to Saturday during holiday weeks.Cans need to be bagged and at the end of your driveway. Please do not put your cans out the night before. If you do, the metal scrappers that drive through the neighborhood may pick them up.If you have any question about the can collection date for the month refer to the Calendar on the website.If you prefer, you can also drop off cans at the clubhouse. Place them in the fenced in area to the east of the clubhouse near the sheds. Please make sure they are clear of the air conditioning units

We are currently aware of two Shadow Brook groups on Facebook, "Shadow Brook Neighbors" and "SHADOWBROOK, Palmetto NO RULES!". Shadow Brook Condominium Owners Association and it's management company ARE IN NO WAY affiliated with either of these Facebook groups. Both groups are run by residents of the community, not the association.If you have any concerns regarding either of these groups you should reach out to the groups moderator(s) or to Meta, Facebook's parent company.Important information concerning the community will be posted by the association on this website and, if warranted, via email to those residents who have registered on this site. In addition, certain communications, per statute, will be sent USPS. Any information posted on Facebook should not be considered official correspondence from the association.

No. Shadow Brook is organized as a Condominium Owners Association (COA), Florida Statute 718. The Florida statutes address a Condominium Owners Association differently than a Home Owners Association (HOA). Florida Statute 720.
Landscaping

chevron_rightAre the chemicals used by the landscape company pet safe?
The landscaping company has assured us that the chemicals used are registered with the EPA and when applied as directed, are safe for pets and humans. Though, the generally accepted safe practice is to avoid any treated area during, and for about an hour after, the application.

chevron_rightWho do I call for an "after hours" emergency (i.e. water leak)?
Please do not call unpaid volunteer board members. Voice and/or text messages left on the phones of board members may go unanswered for extended periods of time. Please follow the procedure outlined below.If this is a suspicious activity emergency, please call 911.If there is an emergency, and you are unable to contact anyone in the clubhouse at the listed phone number, please call the Newby Management After Hours Community Emergency Phone Number below. Newby Management will determine the severity of the situation (water leak, safety issue, etc.) and, if necessary, notify the appropriate person(s).

chevron_rightWho do I contact for a water leak (not within your own home)?
If it's during normal business hours, call the office at (941)981-5183.If it's after hours, or no one answers the office phone, then please call the emergency line at (844)285-2099.Please try calling the office first if it's during normal business hours.If the leak is within your home, or outside between the meter/valve box and your home, then the leak is your responsibility to correct. Any leak that is not quickly remedied may result in the water service being disconnected until the leak is repaired. Service disconnection will incur a minimum fee of $150 and may incur additional fees if the water connection request is on Saturday, Sunday or after 5 pm Monday thru Friday.

Each residence is allowed 2 guests at the pool at a time. This is to allow ample space for everyone to be able to bring guests to the pool during the busy vacation season when family comes to visit.

Pets are not allowed in the pool or on the pool deck.

chevron_rightCan I dive in the pool?
There is absolutely no diving in the pool.The pool is not designed for safe diving.

Alcohol is strictly prohibited at the pool. Violators will be asked to leave the pool deck.

Eating is not allowed at the pool. Non-alcoholic beverages in non-glass containers are the only consumable allowed at the pool.The Shadow Brook Community Club has purchased a picnic table, which is located just outside of the pool deck, where you may eat without having to leave the general area of the pool.

chevron_rightCan I open the pool gate for someone else?
No, opening the gate for someone else is not allowed. Anyone who has lost their fob, or their fob isn't working, needs to contact the office to remedy the situation. Opening the gates for someone else is grounds to have your fob deactivated.

chevron_rightCan I smoke or vape in the pool?
There is No Smoking or Vaping allowed in the pool or on the pool deck. Anyone found smoking or vaping will be asked to stop or leave the premises.

chevron_rightThe pool is too cold (or too warm).
The pool is generally set to maintain a temperature in the mid 80's. During seasonal changes the pool temperature may be outside of this range for a couple of weeks. If you feel something is wrong with the pool heaters (chillers) please notify the office and the pool equipment will be checked.

The pool is open daily from around dawn until dusk. The pool gates will not allow entry after sunset.No one will be admitted after sunset and those still in the pool, or on the deck, will need to exit before dusk so we are in compliance with our pool license.
